Job Description       (a) screening telephone calls, enquiries and requests, and handling them when
(b) welcoming and looking after visitors;
(c) organising and maintaining diaries and making appointments;
(d) dealing with incoming email, faxes and post;
(e) recording timesheets for lawyers on a daily basis;
(f) typing and processing documents, briefing papers, reports and presentations;
(g) organising and storing paperwork, documents and computer-based information;
(h) managing the information bank (including legislation, advices, precedents,
marketing files and client/matter files);
(i) sending newsletters and legal updates to clients;
(j) assisting in events and other business development activities from time to time;
(k) searching for internal and external information as and when required;
(l) assisting lawyers in typing/amending emails/documents before sending to clients;
(m)enhancing work flow with effective time management to coordinate related
documents and organising information to support lawyers;
(n) translating documentation and legislation when required;
(o) specialising in data management, handling documents and ensuring all workrelated documents are recorded in Worldox system;
(p) managing/organising the office filing storage as well as other documents;
(q) preparing/filing/handling client matters, documents on a weekly basis;
(r) managing office inventory and maintenance of the office machinery equipment;
(s) carrying out general secretarial/administrative duties as required from time to
